What Are Task Lists?
Task lists (tasklists) are a way to group tasks into logical collections — e.g., “Sprint 1,” “Backlog,” “To Discuss.” A single task can belong to multiple lists at the same time.
Types of Task Lists
Each list has a specific type (kind) that affects its purpose and how it is displayed:
- Sprint — a time-boxed iteration (e.g., a 2-week sprint). Used for planning work over a specific period. Sprints have start and end dates, and when closed, open tasks can be automatically moved to the next sprint.
- Milestone — a milestone marking an important point in the project (e.g., “Version 2.0,” “Launch”). Groups the tasks needed to achieve the goal.
- List — a general task list without time constraints. E.g., “Backlog,” “To Discuss,” “Ideas.”
- Cycle — a recurring work period. Similar to a sprint, but with emphasis on the regularity of the cycle.
What Task Lists Are Used For
- Organizing sprints — grouping tasks for a given period
- Backlog — a list of tasks waiting to be worked on
- Planning — preparing a set of tasks to discuss in a meeting
- Customer context — a list of tasks related to a specific customer
- Moving tasks — when closing a list, open tasks can be automatically moved to a new list
Creating a Task List
- Go to Tasks → Task Lists
- Click + (New List)
- Fill in:
- Name — required, e.g., “Sprint 5”
- Type — Sprint, Milestone, List, or Cycle
- Team — the team the list belongs to
- Project — optional project assignment
- Responsible person — who is responsible for completing the list
- Status — the list’s stage of completion
- Start / End date — time frame
- Customer — optional CRM customer link
- Department — optional department assignment
- Code — identification prefix
- Save
Adding Tasks to a List
Tasks can be added to a list in several ways:
- When creating/editing a task — the Task Lists field
- From the list view — the add tasks button
- Bulk operations — selecting multiple tasks and assigning them to a list
Closing a List and Moving Tasks
When closing a list, you can:

Move open tasks to a new list (option
copy_open_tasks) -
Close the previous list automatically (
close_previous_tasklist) - Specify the previous list — a historical link between lists
This way, lists form a sequence — e.g., Sprint 1 → Sprint 2 → Sprint 3, with unfinished tasks carrying over to the next sprint.
Task List Views
- User list — who is working on tasks from the list
- Owner list — who is responsible for individual tasks
- Team view — tasks divided by teams
- Kanban — boards with status columns
Important Information
- A single task can belong to multiple lists at the same time
- A list has a task counter (
tasklist_tasks_count) - A list can be closed — indicating a completed sprint/phase
- Lists can be filtered by team, project, status, and customer
